In this video, we're going to discuss roles and permissions within the team workspace. Understanding which roles to assign to your team members is crucial, as it ensures that user-specific abilities and access are correctly distributed. Let's get started.

Getting Started!

Tap on your personalized icon in the top right corner of the screen.

Select 'Manage Users' under the Workspace Settings menu.

There are two tabs at the top of your 'Manage Team' page: Active Members, and Team Invitations.

Your Active Members page will display a list of all your active team members along with their details - including their names, Hero Identities, and contact information. Click into any of these team members to find information and edit roles and permissions for this user. From the Active Members page, you can also remove users from your workspace, and add or remove a license using the icons to the right of their contact information.

Your Team Invitations tab will list all members of your workspace you have invited, and the status of their invitation.

Roles and Permissions

In the upper-right section of the screen, you will see two options: 'Roles and Permissions' and 'Add Members'. Tap 'Roles and Permissions'. From here, you'll be able to view FMHero's stock roles, and create your own specialized roles to fit your business's needs.

These permission sets include:

  • Access Management

  • Cylinder Management

  • Field Service Orders

  • Location Management

  • Equipment Management

  • Serviced Assets

  • Managed Assets

  • Contacts

  • Reports

  • Teams

  • Recovery Equipment Management

  • Appointments

  • Customers

  • Settings

  • And more

Tapping on any of these categories opens a detailed list of individual permissions that are either granted or restricted for that specific role.

While these configurations are fully adjustable when creating a custom role, FMHero has pre-optimized these permissions for our native roles, and the native roles cannot be modified.

Built-in Roles

By default, FMHero provides four stock roles:

The Hero Role: Designed specifically for technicians, this role allows them to complete operational tasks without bypassing the necessary oversight of web users or support supervisors.

The Support Role: Designed specifically for web users and back-office staff who manage operations from the web.

The Admin Role: Grants unrestricted access across the entire FMHero web platform. These users would still need a license to use the mobile application to its full extent.

The Owner Role: Assigned to the original purchaser once onboarding is complete. This role has full access to everything, and unlike the other three stock roles, it can't be adjusted or duplicated into a custom role. To change your workspace's Owner, please contact FMHero support.

Pro-Tip

Assigning the correct role to the appropriate team member is vital for your operations. For instance, granting an Admin role to a Support user provides unnecessary system privileges, which could accidentally lead to data loss or broken workflows. On the other hand, assigning a Hero role to a Support user will restrict them from completing the core office duties they need to do their job.

License Requirements

At the top of the screen, you may notice an orange notification stating:

"Using this permission will require the consumption of a license of any of the mentioned types by the team member."

This indicates that there are specific tasks that only a licensed team member can do: like scanning, creating, and adding services to an FSO, and more. For a Team subscription, licenses are meant for the techs you have out in the field doing the work, not your office staff and administrators. Your web users are free and shouldn't use your licenses. Permissions tagged with this notification should only be toggled on for your field users.

Creating a Custom Role

To create a custom role that best supports your company's needs:

  1. Select an existing role that closely matches the user's needs.

  2. Click 'Duplicate'.

  3. Rename the new role and click 'Save'.

  4. Adjust the permission toggles to your exact satisfaction.

  5. Apply the role to a member or members of your workspace.
